Job Description:
PACO Group, Inc. (PACO) is seeking a Project Coordinator to
provide support for Project Management/Construction Management
services within WMATA's various capital improvement,
rehabilitation, and state of good repair programs. In this role,
you will be a vital link between project managers, contractors,
engineers, and other stakeholders, ensuring project documentation,
schedules, and communications are efficiently managed and aligned
with WMATA's operational goals.Scope of WorkThe Project Coordinator
will assist in the planning, coordination, and execution of transit
construction and rehabilitation initiatives, collaborating with
multiple departments to keep projects on track. You will play a key
role in document control, scheduling, reporting, and stakeholder
communications to support the successful delivery of large-scale
infrastructure projects.Key Responsibilities
- Documentation & Records Management
- Organize and maintain project files, meeting minutes, and
change orders.
- Ensure all documentation is accurate, up-to-date, and easily
accessible.
- Scheduling & Coordination
- Assist project managers in developing and updating project
schedules using tools like Microsoft Project or Primavera.
- Coordinate meetings, site visits, and other project-related
events to keep milestones on track.
- Communication & Stakeholder Liaison
- Act as the primary point of contact for inquiries, distributing
information to relevant parties.
- Prepare project status reports, memos, and presentations for
both internal and external stakeholders.
- Budget & Procurement Support
- Track project expenses, assist with purchase orders, and verify
invoices for accuracy.
- Collaborate with the finance department and vendors to ensure
timely processing and payment of project-related costs.
- Quality & Compliance Monitoring
- Assist in reviewing contractor submissions for adherence to
WMATA guidelines and industry standards.
- Document and follow up on any non-conformance issues, ensuring
timely resolution.
- Risk Management & Issue Tracking
- Maintain logs of identified risks and issues, escalating
critical matters to senior staff when necessary.
- Support the implementation of corrective actions to keep
projects on schedule and within scope.Qualifications
- Education & Experience
- Bachelor's degree in Engineering, Construction Management,
Business Administration, or a related field preferred.
- Minimum 3 years of experience in project coordination or
administrative roles, ideally within construction or infrastructure
sectors.
- Technical Skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint,
Outlook) and experience with project management software (MS
Project, Primavera) is a plus.
- Ability to quickly learn and adapt to new tools and
technologies used in project tracking and reporting.
- Communication & Collaboration
- Strong written and verbal communication skills, with the
ability to interface effectively with diverse teams.
- Detail-oriented and able to manage multiple priorities in a
fast-paced environment.
- Additional Requirements
- Valid driver's license preferred.
- Ability to pass all required security clearances or background
