The IT and Data Coordinator is responsible for the constant upkeep of the company's internal network and user systems, including but not limited to, laptops, software, licenses, phone systems, server and network maintenance, and mobile access.

I. Specific responsibilities of this position include:

Network Management

  • Daily communication with the EVP, Technology regarding the status of network and/or any issues.
  • Execute OPEN MINDS network and workstation network security plan (including virus protection).
  • Responsible for execution and coordination of scheduled server back-ups for the network, specific laptops, web site, etc.
  • Daily review and executive of network administration procedures.
  • Maintain and review firewall.
  • Maintain and periodically test disaster recovery processes. Tech Equipment Technical Support/Coordination
    • Install and perform minor repairs to hardware, software, or peripheral equipment, following design or installation specifications.
    • Refer major hardware or software problems or defective products to vendors or technicians for service and coordinate repairs
    • Provide technical assistance for the routine maintenance of printers and copiers
    • Maintain hardware and software inventory lists and perform needed updates
    • Perform and/or coordinate the installation/implementation of new hardware and software
    • Maintain user workstations by tracking significant problems, monitoring performance and installing upgrades/patches.
    • Answer user inquiries regarding computer software or hardware operation to resolve problems.
    • Setup of equipment for employee use, performing or ensuring proper installation of cables, operating systems, or appropriate software.
    • Read technical manuals, confer with users, and conduct computer diagnostics to investigate and resolve problems or to provide technical assistance and support.
    • Document equipment problems and remedial actions taken, and/or installation activities in external vendor log and/or desktop support issues log.
    • Assist with the development of training materials and procedures, or train users in the proper use of hardware or software. Telecommunication Support Coordination
      • Manage all telecommunications equipment including, but not limited to
      • In-office phone system and service provider
      • Mobile phone equipment and carrier
      • Cloud communication systems
      • Training of personnel on telecommunications systems and issues.
      • Other Duties As Assigned Data, Analytics and Email Campaign Support/Coordination
        • Assist the EVP, Technology with creation and management of analytics data
        • Fill ad-hoc requests of analytics data when needed
        • Training of personnel on how to access/use analytics dashboards
        • Development and maintenance of analytic automation
        • Assist personnel in recommending appropriate analytic data to review for clients
        • Assist the EVP, Technology with internal database maintenance
        • Creation/deletion of user accounts
        • Resource usage
        • Pulling of data
        • Schedule out approved email campaigns

          Requirements

          Skills, experience, & education required
          • Background with managing user accounts/licenses/permissions within a Microsoft Office 365 tenant
          • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
          • Active listening in giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
          • Talking to others to convey information effectively.
          • Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
          • Communicating effectively in writing as appropriate for the needs of the audience.
          • Identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.
          • Determining how a system should work and how changes in conditions, operations, and the environment will affect outcomes.
          • Using computers and computer systems (including hardware and software) to set up functions, enter data, or process information.
          • Developing constructive and cooperative working relationships with others, and maintaining them over time.
          • Servicing, repairing, calibrating, regulating, fine-tuning, or testing machines, devices, and equipment that operate primarily on the basis of electrical or electronic (not mechanical) principles.
          • Excellent organizational skills.
          • Attention to detail, with the ability to work independently with minimal supervision.
          • Ability to lift 35 pounds.
          • Visual acuity to perform activities such as preparing and analyzing data, viewing a computer terminal, and extensive reading
          • Ability to drive an automobile and must have a valid driver's license.
          • Ability to stand and sit for long periods of time, as well as bending and lifting from a sitting or standing position.
          • Must be able to travel unattended.
          • Ability to use a personal credit card for occasional purchases on behalf of the organization, with reimbursement.
