Job Description Job Description Position Summary: The Finance
Administrative Assistant (FAA) supports the daily operations of the
Finance Department by performing administrative, clerical, and
basic accounting tasks. This role ensures accurate recordkeeping,
timely processing of financial documents, and smooth coordination
between finance, operations, and external partners. The ideal
candidate is detail-oriented, organized, and comfortable handling
confidential financial information. Key Responsibilities Financial
& Accounting Support Process invoices, expense reports, and
reimbursement requests with accuracy and timeliness. Assist with
accounts payable and accounts receivable tasks, including data
entry and payment tracking. Prepare bank deposits and support
reconciliation of financial statements. Maintain vendor files,
W?9s, and payment records. Support payroll documentation by
collecting timesheets, verifying hours, and preparing summaries for
review. Assist with month?end and year?end closing tasks as
directed by the Finance Manager. Administrative Support Maintain
organized digital and physical filing systems for financial
documents, contracts, and compliance records. Schedule meetings,
prepare agendas, and support communication between finance and
other departments. Draft routine correspondence, memos, and
internal updates. Manage incoming mail, invoices, and
finance?related inquiries. Assist with audit preparation by
gathering documentation and maintaining audit?ready files Data &
Reporting Enter and update financial data in accounting software
and spreadsheets. Generate basic financial reports, summaries, and
trackers for leadership review. Monitor budget variances and flag
discrepancies for follow?up. Support data collection for grants,
compliance reporting, and operational metrics. Vendor & Purchasing
Coordination Communicate with vendors regarding invoices,
statements, and payment status. Track purchase orders and ensure
proper documentation for procurement. Assist with price
comparisons, vendor onboarding, and contract renewals.
Qualifications High school diploma required; associate degree or
coursework in accounting, business, or finance preferred. 1–3 years
of administrative or finance support experience. Proficiency with
Microsoft Excel, Word, and accounting software (e.g., QuickBooks,
Sage, or similar). Strong attention to detail and accuracy in data
entry. Excellent organizational and time?management skills. Ability
to handle confidential information with discretion. Strong
